Omni Law Group
Every email matched to its matter, a reply drafted in his voice, nothing sent.
Overview
Luxin’s first client build. A one-attorney litigation firm with over a hundred unread emails, replies written from scratch in four different registers, and deadlines retyped into the calendar by hand. Scoped August 19, 2026. Live August 27.
The problem
Every inbound email needed three decisions before a reply could start: which matter, which voice, what deadline. The attorney was making all three by hand, a hundred times a week, and the backlog grew faster than it cleared.
Process
- 01
Mapped the firm’s matter folders so every incoming email is matched to its matter automatically
- 02
Trained four reply voices on 75 of the attorney’s own sent emails: client, opposing counsel, court, internal
- 03
Built the to-do capture and the calendar step, with every calendar entry created only after his approval
- 04
Ran a backlog sweep over 95 waiting emails and surfaced the 27 that needed a reply
- 05
Set the loop to check every 30 minutes in business hours, with a Friday self-review that learns from his edits
- 06
Logged every action on every matter, so the record is complete when the firm needs it
Solution
An email operating system inside Microsoft 365: read, match, draft, wait. The attorney reviews drafts in his own Outlook and taps approve. Phase two moved it onto a private always-on server with one-tap approvals from his phone, which he now develops himself.
Results
Live in eight days. The firm referred two more business owners to Luxin within the first month. It became the pattern for every Luxin build since: nothing goes out without a person saying yes.
